What does an AI agent do in finance and accounting?

Posting transactions to the books is the best-documented repetitive workload in an SME, and the first one Djtal hands to an agent. This page sets out what a finance agent does, task by task, on the evidence of two live cases.

In brief

Day-to-day accounting, handled inside your own system.

An AI agent for finance and accounting is software that handles an SME's routine accounting in its ERP (enterprise resource planning). It posts supplier invoices, reconciles bank statements, tracks customer payments and prepares management reports, with human approval for anything that commits the company. Djtal, the operational AI specialist for Swiss companies, runs one in Zoho Books and builds yours.

Who does what

Five processes, one written split of the work.

Before the agent goes live, its role is written down. It states what the agent handles, where it stops and who approves. The table below shows that split as it runs in Djtal's own accounts.

ProcessWhat the agent doesWhat stays with a human
Supplier invoicesReads the invoice, extracts the data and posts it to the right account. Stops if the supplier falls outside the pre-approved scope.Approves suppliers outside that scope and unusual amounts.
Bank reconciliationImports the bank statement (CAMT.053 format) and reconciles the entries one by one.Resolves any items left unreconciled.
Customer payments and remindersTracks customer due dates. Reminders for overdue invoices go out automatically.Decides how sensitive cases are handled (key account, dispute).
Management reportingPrepares the monthly management accounts: margin, cash position, recurring revenue.Reads it, questions it, decides.
MonitoringFlags persistent variances and lets one-off ones pass.Decides which of them deserve action.

Case study

Les Huiles de Jil and the back office of an online brand.

At Les Huiles de Jil, a Swiss brand that sells online, a single agent handles the day-to-day running under the supervision of the management team. It sorts the email inbox and drafts replies to customers, posts supplier invoices in the accounts, enriches the CRM as emails and messages come in and reports back at regular intervals.

The brand's founder estimates that the back-office workload has fallen from around two hours a day to about ten minutes. That is a single overall figure, covering emails, the CRM and supplier invoices together. What remains within those ten minutes is supervision and decisions.

Djtal applies the same discipline to its own accounts. On 12 June 2026, Émile, its finance agent, matched the PostFinance bank statement against the Zoho Books entries and recorded two customer payments, in a session supervised by our accountant. Since then, reminders for overdue invoices have gone out automatically.

In your company

The same split, adapted to your business.

The processes in the table appear in most SMEs. Their weighting changes with the business. A fiduciary firm (an accounting and tax firm) would start with the pre-accounting of its client files. The agent would prepare entries across all the client files and leave the review to the accountant. A trading company would put the volume of supplier invoices first. A services company would begin with customer payments and margin tracking by engagement.

In every case, the agent would work in the accounting software you already use, and every stop rule would be written with you before go-live. You start with a single process, the one that is overflowing.

The method

How the agent goes live.

  1. 1.

    The role is written down

We define the scope, tools and stop rules, and name a supervisor, before anything is built.

  2. 2.

The agent is tested on your real cases

We run your own invoices, bank statements and supplier records through it, one process at a time, under supervision.

  3. 3.

Running the agent passes to your team

Under the forward-deployed engineering model, the engineer works on site with you until your team can run the agent on its own.

The full picture (what an agent is, what makes it succeed, what it costs) is on the AI agents for your business page. Its counterpart for communications and marketing is the AI agent for communications. For an overview by function, see AI and Zoho use cases. Do you keep the books for other companies? The same split applies engagement by engagement, as AI for fiduciaries explains.

Frequently asked questions

Your questions about the AI finance agent.

Can an AI accounting agent keep the books of a Swiss SME?

An AI agent can handle the routine accounting. A Djtal finance agent posts supplier invoices, reconciles bank statements, tracks customer payments and prepares the management accounts. The review, the month-end and year-end closing and tax decisions stay with your fiduciary firm, and the agent gives it clean, up-to-date data to work from. Any entry that commits the company financially needs a person's approval first.

Do we need to change accounting software to deploy an AI agent?

No. Djtal's finance agent works in the accounting software you already use (Zoho Books, bexio or any other) through the interfaces that software offers. The software remains the system of record. The agent enters data in it as a member of staff would, and its work stays traceable entry by entry.

How does an AI agent process supplier invoices?

Djtal's finance agent reads the invoice, whether it arrived by email or was filed in your document management system. It extracts the data, matches the invoice to the right supplier and the right account, then posts it. If the supplier falls outside the pre-approved scope agreed with you, the agent stops and refers the invoice to a person, as its written role requires.

What guardrails apply to an AI agent that works on the accounts?

Djtal writes four guardrails before an agent goes live: a defined scope (what the agent handles, and nothing else), stop rules for an unknown supplier, an unusual amount or a reconciliation discrepancy, a log of every action, and a named human supervisor who approves anything that commits the company.
